 Terms & Conditions

1) What the PDP Includes

  • Two inspections per year (spring and fall) using a standardized checklist, photo documentation, and a summary report aligned to common manufacturer maintenance expectations.
  • Maintenance while we’re there (as authorized) — If we see something that needs attention, we’ll perform maintenance under our Rain Defense Service Agreement, including leak-prevention tasks and winterizing (debris/leaf removal, clearing/cleaning drains). Owner remains responsible for keeping drains clear and maintaining positive drainage.
  • Digital record-keeping — We log findings, store photos and reports, and retain records for at least 7 years so you can demonstrate maintenance for insurance and manufacturer warranty purposes.
  • Member pricing$20/hour discount off Rain Defense’s then-current published service labor rates for any maintenance or repair on the covered property (including re-coats, overlays, and re-roofs). Discount applies to labor only; not materials, permits, or third-party fees; cannot be stacked; not retroactive; valid while PDP is active.

2) Pricing & Coverage Rules

  • Base price: $449/year covers up to 3 roofs in the same community, with a combined roof area of ≤ 5,000 ft².
    • Example 1: Single building with 3,500 ft² roof size: 1 × $449 = $449/year
    • Example 2: Multi-building community of 4 buildings with a total roof size of 9,000 ft²: 2 × $449 = $898/year
    • Example 3: Single building of 5,500 ft² roof size: 2 × $449 = $898/year
    • Example 4: Multi-building community of 9 buildings with a total roof size of 14,000 ft²: 3 × $449 = $1,347/year
  • Coverage applies only to the named property/community and requires reasonable/safe roof access.

3) What PDP Is (and Isn’t)

  • PDP is a preventative inspections & documentation program. It is not insurance and does not guarantee a leak-free condition.
  • Repairs, replacements, re-coats, and emergency responses are separate and performed under the Rain Defense Service Agreement at member ($20/hr discount) rates.

4) Manufacturer Warranty Alignment

  • Many warranties expect semi-annual inspections and documented maintenance. We schedule your inspections and maintain the log to help you stay compliant.
  • Owners are expected to keep drains open and maintain positive drainage. We’ll note and, if authorized, address debris during winterizing/maintenance.
  • Some NDL warranties require approved contractors and specific notice/coordination steps. We’ll advise when manufacturer procedures apply.

5) Scheduling, Access, and Safety

  • Inspections are scheduled Mon–Fri, 7:30 a.m.–5:00 p.m. and are weather-dependent.
  • Owner/manager provides safe access; we may restrict pedestrian or vehicle traffic for safety.

6) How Maintenance & Repairs Work

  • Maintenance/repairs follow the Service Agreement: time-and-materials at published rates (minus your PDP discount), standard minimums/overtime rules, materials at retail, fuel surcharge, and normal per-visit authorization caps.
  • Some diagnostics may require water testing or limited exploratory work; those methods are also governed by the Service Agreement.

7) Term, Renewal, Cancellation, and Fees

  • Term: one year. Auto-renews annually unless canceled.
  • Cancellation: either party may cancel with 30 days’ written notice.
  • Refunds: Current year is non-refundable. Cancellation applies to the following year(s).
  • Payment: annual prepaid (invoice or card; card payments may include a 3% processing fee).
  • Price changes: Rain Defense may update PDP pricing with notice prior to renewal. Taxes/permits (if any) are additional.

8) Documentation Retention

  • Rain Defense stores inspection reports and photos in a secure project file for a minimum of 7 years and will provide copies upon request to owners or authorized property managers.

9) Limits, Exclusions, and Liability

  • PDP fees cover inspections, reports, and program administration only.
  • Consequential/interior damages, business interruption, and contents are not covered by PDP; see the Service Agreement for additional limitations that apply to maintenance/repairs.
  • We are not responsible for code/design defects, pre-existing failures, or third-party work. Manufacturer warranties have their own exclusions; we will note such risks in our reports for roofs we installed and will require documentation from the owner to provide for roofs we did not install in order to provide exclusions.

10) Disputes

  • Any dispute related to maintenance/repairs performed under the Service Agreement is governed by that agreement’s binding arbitration clause. Manufacturer warranty disputes follow the manufacturer’s process.

11) Incorporation by Reference

By enrolling in PDP, Customer agrees that (a) any maintenance/repair work will be performed under the Rain Defense Service Agreement (including its warranty, liability limits, billing, and arbitration provisions), and (b) for manufacturer-warranted roofs, owner obligations in the manufacturer’s documents remain the owner’s responsibility; Rain Defense assists with inspections, records, and coordination.
